Document expiry alerts

Set expiry dates on uploaded documents and get automatic alerts before they lapse.

Any document in Teiro — for carers, customers, or the organisation — can have an expiry date. Teiro monitors these automatically and alerts the right people before documents lapse.

Setting an expiry date

When uploading a document, enter its expiry date in the designated field. If you're uploading a carer's police check, enter the date on the certificate.

Who receives alerts

Teiro sends expiry alerts to:

  • The Admin and Compliance leads (all documents)
  • The carer themselves (their own certifications)
  • The customer's coordinator (customer-level documents like care agreements)

Alert schedule

Teiro sends one alert per document, when its expiry date comes within 60 days. A document that also carries a review date gets a separate alert when that review date comes within 30 days.

Carer certifications are tracked separately from documents and run on their own schedule: by default, 90 days, 30 days and 7 days before expiry, and again on the expiry date. The 90/30/7-day intervals can be customised per organisation. See Tracking qualifications for details.

Renewing a document

Upload a new version of the document with the updated expiry date. The old version is archived for audit purposes — Teiro never deletes historical records.
